The Role
Overview: We are seeking a dynamic and highly organized Executive Assistant with
a background in project management and marketing to provide comprehensive support
to our executive team. The ideal candidate will possess exceptional multitasking
abilities, excellent communication skills, and a strong understanding of project
management principles. This role requires a proactive individual who can
anticipate needs, manage competing priorities, and collaborate effectively across
departments.
Responsibilities:
Executive Support:
Provide high-level administrative support to executives, including managing
calendars, scheduling meetings, and coordinating travel arrangements.
Prepare and edit correspondence, presentations, and reports for executive review.
Act as a liaison between executives and internal/external stakeholders, ensuring
timely and accurate communication.
Project Management:
Oversee various projects from inception to completion, ensuring adherence to
deadlines and budgets.
Develop project plans, timelines, and milestones, and track progress using project
management tools.
Coordinate with cross-functional teams to allocate resources, resolve issues, and
drive project success.
Marketing Assistance:
Assist in the development and execution of marketing campaigns, including social
media, email marketing, and advertising initiatives.
Conduct market research and analyze data to identify trends, opportunities, and
customer insights.
Collaborate with the marketing team to create compelling content and collateral
that aligns with brand objectives.
Administrative Support:
Manage administrative tasks such as expense reporting, invoice processing, and
office supply management.
Handle sensitive and confidential information with discretion and professionalism.
Proactively identify opportunities to streamline processes and improve efficiency
within the organization.
Ideal Profile
You have at least 1 year experience within a Executive Assistant / Virtual
Assistant role, ideally within the Luxury industry.
Can anticipate the need of the Executives
You are organised and have good interpersonal skills.
You can work with minimal supervision and multi-task effectively.
Proficient in using Project Mgt Tools (Asana, Clickup, Notion)
You pay strong attention to detail and deliver work that is of a high standard
You possess strong analytical skills and are comfortable dealing with numerical
data
You are a strong team player who can manage multiple stakeholders
